Terms and Conditions

Agreement

By making a booking with us, you are agreeing to our terms and conditions.

Our Terms and conditions are below,

  • 1.1 Once payment and booking forms have been received, you are accepting these Terms and Conditions and have entered into an agreement with Woodland Rangers.
  • 1.2 This agreement is between Woodland Rangers and the attendee/parent/guardian named on the booking form.
  • 1.3 - We reserve the right to refuse a booking to any parties or individuals without a reason. In this instance you will be informed and reimbursed the money paid on booking.
  • 1.4 - Your place will not be reserved until payment has been received.

Prices:

  • ​2.1 - As an independent Forest School and we aim to limit our prices. However we reserve the right to alter our prices due (but not limited) to unforeseen circumstances such as transport, increased material costs and labour.
  • 2.2 – In the event of an price increase, we will inform you as soon as practicable and the price increase will not take effect until the next set of block bookings.
  • 2.3 - Forest Party and private bookings - final numbers for your party will need to be confirmed at time of final payment. Any changes to numbers or activities after this time will not be refundable.


Cancellations:

  • 3.1 - We do not offer a refund for individual sessions that you have missed as part of block bookings.
  • 3.2 - Woodland Rangers will run their sessions in all kinds of weather including (but not limited to) heat, cold, rain and snow. If you decide not to attend the session due to weather conditions, no refund will be given.
  • ​3.3 - Forest School sessions are highly unlikely to be cancelled. If in the case of weather conditions that pose an adverse risk, we reserve the right to cancel for health and safety reasons. In this instance, we will offer two alternative session dates as soon as safe to to do. If the participant is unable to attend any of the two alternative sessions offered, a refund will be given.
  • 3.4 - If Woodland Rangers are not able to run a session due to staff illness or unforeseen circumstances, we reserve the right to cancel. You will be contacted via the method you have requested on the parent/carer consent form. We will do so as soon as is appropriately possible. In this instance, we will offer two alternative session as soon as is practicably possible. If the participant is unable to attend any of the alternative sessions offered, a refund will be given.
  • 3.5 - If you have booked for our Woodland Rangers Forest School holiday club, party or private session, we will require 28 days’ prior written notice to receive a full refund. If written notice is given at before 14 days before your party date, you will receive a 50% refund. If you cancel after this time no refund will be given.
  • 3.6 - In the event that our session numbers are too low to run a session, we reserve the right to cancel. In this instance, you will be offered an alternate session or offered a refund.


Conduct on site:​

  • 4.1 - Woodland Rangers are based in a woodland and we are out in all weathers, as this is a fundamental part of the learning experience. Therefore, it is vital that each individual is suitably dressed for each session in all weathers. You will be given written information of what this clothing should be and particularly for different weather conditions and activities. We do not accept any responsibility for issues caused by unsuitable clothing.
  • 4.2 – Attendees and associated contacts are required to behave respectfully towards everyone on site at Woodland Rangers Forest School. This includes via the use of modern technology once off-site after the sessions (including social media).
  • 4.3 - We will always do our best to ensure positive behaviour on site, however we are aware that situations such as negative behaviour or bullying can occur. If such instances arise, we will communicate with all parties involved and if necessary discuss an action plan. If negative behaviour or bullying continues and others are at risk or the Forest School ethos is jeopardised, Woodland Rangers reserves the right to refuse entry and withhold any fees that have been paid.
  • 4.4 – Refusal to entry on site and/or removal during the session will be implemented at the discretion of the Forest School Leader in circumstances such as:

· Intoxication

· Misuse of drugs (recreational or otherwise)

· Abusive behaviour

· Continued misuse or dangerous use of tools or equipment

If any of the above has occurred, no refund will be given.

  • 4.5 - Woodland Rangers operates a strictly no smoking or vaping policy around the children.
  • 4.6 - Woodland Rangers operates a zero-tolerance policy to inappropriate or offensive language.


Accidents & Incidents:

  • 5.1 - We endeavour to provide the safest learning environment within our Forest School, however due to the nature of self-discovery that the Forest School ethos encourages, there is of course an element of risk.
  • 5.2 - We will complete thorough Risk Benefit Assessments and always follow correct Policies & Procedures.. Before every session the relevant checks will be carried out. Woodland Rangers cannot guarantee after all this has taken place, the learning experience can be 100% safe
  • 5.3 - Our Woodland Ranger leaders both hold -

Forest School Leader Level 3

ITC Level 3 in Forest School First Aid

ITC Level 3 in Paediatric First Aid

Up to date safeguarding training

Enhanced DBS

We also hold a ITC Level 2 Certificate in Outdoor Food Safety (CPD Accredited) for when camp cooking is taking place.

  • 5.4 - We will use control measures to ensure the actions following an accident/incident are dealt with in the correct manner. In the unlikely event that an accident/incident does occur, Woodland Ranger leaders reserve the right to contact the emergency services if deemed necessary.
  • 5.5 - We will use control measures to ensure the actions following a safeguarding incident are dealt with in the correct trained manner. In the unlikely event that an incident does occur, Woodland Ranger leaders will follow our safeguarding policies and reserve the right to contact the authorities or emergency services if deemed necessary.

Allergies and Medications:​

6.1 – As part of the booking process you will be required to complete questions in the health section on the signature form. This is to ensure that the Woodland Ranger leaders are aware of any known allergies and medical conditions of all attendees.

6.2 – By accepting the Terms and Conditions you are acknowledging that the setting being outdoors carries an element of risk with regard to allergies or the need for medicine. Woodland Rangers will complete a site check before each session in order to minimise the risk. We will endeavour to follow good practice and reduce the chance of an allergic reaction or other medical situation arising.

6.3 – If the attendee requires any regular medication, we reserve the right to refuse entry if, on arrival, the attendee does not have the correct medication e.g. asthma pump. No refund will be given in the above instance.

At sessions where parents/carers are present, they are responsible for any medication.

6.4 – If there is an attendee with a nut allergy present, we will inform you not to bring nuts or nut based products onto the site. If they are found, we will confiscate these items from the child and return these at the end of the session. Woodland Rangers will not be held responsible for ingestion of allergens on site. It is the attendee's responsibility to only consume food and drinks which are suitable for them.


Digital Photos/Mobile Phones/Social Media:​

7.1 - Woodland Rangers have the right to include your child’s image on our social media platforms / website promotional / marketing / evidence purposes. We will only not include your child‘s image if we receive an explicit non-consent with your signature. Please sign the consent forms provided in your signature packs which are to be sent beforehand or handed to us on your first session.

7.2 - Holiday or summers club attendees

If attendees bring any devices, forms of communication or technology onto site, they will be asked to

- store them in an appropriate location

- these should not be kept on their person

- If continued use or misuse any technology it is witnessed or reported, the device/s will be removed and only returned at the end of session.

7.3 - If you are booked onto our stay and play sessions we ask that you turn your phone on silent and no calls are taken during your session (unless an emergency) so it will not interrupt the session or any safety briefings taking place.

7.4 - We allow you to take photos during the sessions, please try not to take pictures that contain other child/ren. We would be happy if you want to share to social media but we would require you to cover any other child/ren’s identity as you may not have permission to upload any other Woodland Rangers image.

7.5 - We will use and share images and recordings on different social media platforms, unless specified not to in your booking form. Woodland Rangers will ensure that the confidentiality, privacy and GDPR (General Data Protection Regulations) are followed and no private information is shared.


Complaints​:

8.1 - Woodland Rangers takes any complaint in regards to our services, staff or site very seriously and we want to be informed of any as soon as possible. We will endeavour to resolve any problems/situations in a timely and professional manner. Woodland Rangers strives to take an open and honest approach when dealing with any complaints or concerns.

8.2 - Reporting - If a complaint/issue/concern with Woodland Rangers arises, please approach calmly and wait until the Forest School Leader has all the participants safe. We will always make time to discuss issues/questions, at the appropriate time and if necessary a meeting can be scheduled. Woodland Rangers will not tolerate any form of abuse or disrespect towards our staff under any circumstances.

8.3 - If the complaint/concern is of a sensitive nature or you do not feel comfortable discussing this in person, please contact us via email: woodland.rangers@outlook.com or contact us by phone.

8.4 - If you feel an issue is unresolved and you wish to take it further, please lodge a full complaint in writing within 28 days of the initial complaint and Woodland Rangers will deal with it accordingly.


Bookings:

9.1 - When booking stay and play sessions you have two options for booking.

- One-off session

- Block bookings

Both are pre-pay, you will be required to pay for sessions in advance in order to accept our terms and conditions.

9.2 - Bookings for holiday clubs need to be paid in advance with two options of booking.

- One-off session

- Block bookings

Both are pre-pay, you will be required to pay for sessions in advance in order to accept our terms and conditions.

9.3 Bookings for private sessions

- Enquires need to be sent to woodland.rangers@outlook.com at least two weeks before you wish to hold your private session in the forest.

- An private information sheet will be sent to you to select your requirements.

- You will be required to send the details selection at least two weeks before your session

- An invoice will be sent to you with your individual agreed price.

- Payment required 7 days before the date.

- Upon booking you are accepting our terms and conditions.

- Cancellation will be as stated in our above section 3 - Cancellations, if booked later than 2 weeks before full payment will be required immediately.

9.4 - Bookings for parties

- Enquires need to be sent to woodland.rangers@outlook.com at least two weeks before the party,

with required date.

- A party information sheet will be sent to you to select your requirements.

- You will be required to send the party details at least two weeks before your party.

- An invoice will be sent to you with your individual agreed party price.

- Payment required 7 days before the party date.

- Upon booking you are accepting our terms and conditions.

- Cancellation will be as stated in our above section 3 - Cancellations. If booked later than 2 weeks before full payment will be required immediately.

9.5- If a transfer of a booking is requested, it is at the discretion of Woodland Rangers to accept or deny your request

If you are unable to send it to us beforehand please fill out the forms and hand them in at the start of your first session. We will also bring blank copies for those who need them, but these will have to be completed before the session starts.
